Can Xero produce dividend vouchers?
Xero has a Dividend Voucher report, but it sits with the tools Xero gives partner practices, not the Xero subscription companies use for their own books. What that means if you run your own books, and what a voucher needs that a Xero transaction doesn't show.

The short answer
Not in the Xero subscription a company uses to run its own books, as of October 2026. Xero has a Dividend Voucher report, but it comes through accounting practices on Xero's partner programme. In April 2026 Xero said there were no confirmed plans to bring it into standard Xero, so in-house users need another route.

What the Xero HQ dividend voucher report is, and who can see it
Xero HQ was the home Xero gave accounting and bookkeeping practices. Xero has since moved it into Xero Partner Hub, which its Partner Hub page describes as "now live for all". Xero's report templates page says the templates "are a partner programme benefit for all accounting and bookkeeping partners". A practice can then "publish a report so your client can view it in Xero".
The dividend voucher gap shows up on Xero's Product Ideas forum. The idea Report - Produce Dividend vouchers in Xero, posted in August 2023, asks Xero to allow vouchers "also by in-house accountants, rather than only by an accounting firm that is a Xero partner". As of October 2026 it has 19 votes and the status "Gaining Support".
Xero replied on 20 April 2026:
At the moment there aren't any confirmed plans to bring that specific Dividend Voucher experience into blue Xero.
"Blue Xero" here means the standard Xero that businesses use for their own books. The same reply says the feedback was passed on "to help them understand the demand from in-house company accountants who aren't connected to a Xero partner".
We couldn't find a Xero Central article that sets out exactly who can run the report, and we haven't seen the report itself, so we can't say which fields it includes. If your accountant's practice is a Xero partner, ask them whether they can produce vouchers for your company.
If you run your own books in Xero: your options
If you keep your own books in Xero without a partner practice behind you, you have three practical routes.
- Ask your accountant. If they work in a Xero partner practice, they may be able to run the report for you. You still need the board minutes and the declaration, which a voucher report doesn't replace.
- Write the voucher yourself. Use a dividend voucher template or the free dividend voucher generator to make a PDF, one per shareholder per dividend. Then attach it to the payment in Xero so the company's copy sits with the transaction.
- Use a tool that reads Xero. A separate product can take the shareholders and payment from Xero and draft the documents. Dividendly is one, covered below.
Whichever route you pick, record the dividend itself correctly first. How to record dividends in Xero covers the dividends account (Xero's default UK chart has none), the payment and the director's loan account variant.
What a voucher needs that a Xero transaction doesn't show
GOV.UK's guidance on taking money out of a limited company says:
For each dividend payment the company makes, you must write up a dividend voucher showing the:
- date
- company name
- names of the shareholders being paid a dividend
- amount of the dividend
A spend money transaction in Xero holds a date, a contact, an amount and an account code. That overlaps with the list, but it is not a voucher, for three reasons.
- It stays in the company's books. GOV.UK adds: "You must give a copy of the voucher to recipients of the dividend and keep a copy for your company's records." A ledger entry is not something you hand to a shareholder.
- It may not match one shareholder. One bank payment can cover several shareholders. A dividend credited to a director's loan account may have no payment at all. Each shareholder still needs their own voucher.
- It leaves out the context. Good practice is to show more than the GOV.UK minimum: the company registration number, the shares held and the amount per share, whether the dividend is interim or final, a voucher reference, and a director's signature. None of that lives on a Xero transaction.

Where the minutes and declaration come from
The voucher records the payment. The decision behind it needs its own paperwork. To pay a dividend, GOV.UK says you must "hold a directors' meeting to 'declare' the dividend" and "keep minutes of the meeting, even if you're the only director".
Under the model articles for private companies, "The company may by ordinary resolution declare dividends, and the directors may decide to pay interim dividends." An interim dividend is the directors' decision, recorded in board minutes. A final dividend is declared by the shareholders by ordinary resolution, and it "must not exceed the amount recommended by the directors". Check your own articles, which may differ.
Before any of that, the directors need to be satisfied the company can afford it. Section 830 of the Companies Act 2006 says: "A company may only make a distribution out of profits available for the purpose." That is a judgement for the directors and their accountant. Xero doesn't make it, and neither does any voucher tool.
Xero does not draft minutes or resolutions. The dividend board minutes template covers the interim and final versions.
How Dividendly fits alongside Xero
Dividendly is a separate product that connects to your Xero organisation through Xero's own authorisation screen. You can sign in with a magic link or with Sign in with Xero.
- Setup. You choose the bank account dividends are paid from and the dividend account they are coded to, then map each shareholder to their Xero contact.
- Upcoming runs. You enter the total and the date. Dividendly allocates it across shareholders by shareholding and posts one SPEND transaction per shareholder to the chosen bank and dividend account, with the generated PDFs attached.
- The full bundle. Each shareholder gets a voucher, board minutes, and a dividend declaration (interim) or shareholder resolution (final). Each bundle goes through an e-signature acknowledgement step and is emailed to the shareholder.
- Past dividends. Historical back-fill reads past SPEND transactions on your dividend account and drafts a voucher for each one you select. It needs a connected Xero or QuickBooks account and is included on Growth, Accountant and Enterprise.
Dividendly does not move money, reconcile your bank feed or check distributable reserves. The Xero integration guide walks through the connection step by step.
FAQ
Is there a dividend voucher template in standard Xero?
Not that we could find, as of October 2026. The Dividend Voucher report comes through Xero's partner practices, and Xero said in April 2026 it had no confirmed plans to bring it to standard Xero.
Can my accountant produce dividend vouchers from Xero for me?
Possibly. If their practice is on Xero's partner programme, ask whether they can run the Dividend Voucher report for your company. You will still need minutes and a declaration or resolution.
Does Xero produce board minutes for a dividend?
Not that we could find. Minutes and the declaration or resolution come from a template, your accountant or a separate tool.
Can I attach a dividend voucher to a transaction in Xero?
Yes. Xero lets you attach files to transactions, which keeps the company's copy of the voucher with the payment. Dividendly does this automatically for the SPEND transactions it posts.
Do I need a voucher if the dividend goes to my director's loan account?
The voucher records the dividend itself, not how it was settled, so expect to issue one either way. Ask your accountant how to record that kind of dividend in Xero.
